ReconCore Privacy Policy

Last updated: 2026-05-26

This Privacy Policy explains how ReconCore ("we", "us") handles information when you use the ReconCore platform (the "Service").

1. Information We Collect

  • Account data: name, email address, organization membership, role.
  • Authentication data: encrypted credentials and session tokens.
  • Uploaded accounting files: reconciliations, Trial Balance exports, supporting schedules, and any other files you upload.
  • Operational metadata: timestamps, IP address, user-agent string, accounting period, organization, and audit history of actions you perform.
  • Acceptance records: which version of our agreements you accepted and when.

2. How We Use Information

We use your information to:

  • provide, secure, and operate the Service,
  • process uploaded accounting files on your behalf,
  • maintain audit history and compliance logs,
  • communicate with you about the Service, and
  • improve product quality and reliability.

We do not sell customer data. We do not share your uploaded accounting files with third parties except as required to operate the Service (e.g., our hosting and database providers).

3. Organization Isolation

Uploaded accounting data, reconciliations, Trial Balances, and audit history are scoped to your organization. Members of one organization cannot access another organization's data.

4. Security Practices

We use commercially reasonable, best-effort security practices, including:

  • encrypted authentication,
  • organization-scoped row-level access controls,
  • audit logging of sensitive operations, and
  • secure cloud-hosted infrastructure.

No system is perfectly secure. We do not guarantee absolute security or freedom from breach.

5. Data Retention

  • Active accounting data is retained while your organization is active.
  • Audit history, period archives, and acceptance records may be retained for extended periods for compliance, security, and dispute-resolution purposes.
  • Backups may temporarily retain deleted records until backup rotation.
  • Organization data may persist after deactivation for logging, compliance, or legal-hold purposes.

6. Cookies and Sessions

We use essential cookies and local storage to maintain your sign-in session, theme preferences, and active organization context. We do not use cross-site advertising trackers.

7. Beta Environment

The Service is in private beta. Data structures, retention policies, and storage locations may evolve as the product matures. You should avoid uploading production data that cannot tolerate temporary disruption or schema migration.

8. Your Rights

You may request access to, correction of, or deletion of your personal account data by contacting your organization administrator or ReconCore support. Some records (audit logs, acceptance records, archived periods) may be retained as described above.

9. Changes

We may update this Privacy Policy from time to time. Material changes will require renewed acceptance before continued access.
